Manually adding a tracking number to a shipment
Use this when tracking was created outside ParcelPilot (manual carrier booking, label purchased elsewhere) but you still want tracking stored against the shipment for visibility, reporting, and (optionally) pushing back to an e-commerce channel.
When to manually add tracking
You would manually add a tracking number when:
- A label was purchased/created outside ParcelPilot
- A carrier booking was done manually and you want the tracking stored on the shipment
- You need tracking shown for internal visibility or reporting
How to add the tracking number
- Go to Admin → Shipments
- Open the shipment you want to update
- In Shipment Details, find the Tracking field
- Paste the tracking number exactly as provided by the carrier
- Click Save
Optional: update the shipment status
If you need to manually reflect progress (e.g. In transit / Delivered):
- Open the shipment
- Find Tracking Status
- Use Update Status to set the status you want
Optional: push tracking back to your store (Shopify / WooCommerce / etc.)
If this order came from an e-commerce integration, you can re-send the tracking number to the channel:
- Open the shipment
- From the shipment actions, use Re-sync Tracking
- Choose whether to Notify customer
Note: this only works if your integration has Push shipment confirmations (tracking) back to channel enabled.
Troubleshooting
“No tracking number”
Add the tracking value to the shipment and save, then try again.
“Channel push disabled”
Enable the integration setting that allows pushing tracking back to the channel.
Tracking won’t update / status doesn’t change
- Use the manual Update Status control, or
- Use Check tracking (if available) to poll carrier tracking.
