Why Can't I Post a Receipt?
This guide explains the current reasons Parcel Pilot blocks Post Receipt, what to inspect on the receipt, and the safe next action.
Key idea
Saving a receipt is not the same as posting inventory.
In current Parcel Pilot behavior:
- Start Receiving prepares the receipt for goods-in work
- Scan Items is optional
- Post Receipt is the step that creates inventory from the actual received quantity for standalone and legacy receipts
- Complete Receiving is the operator action that completes a controlled receiving session and posts its linked receipt
- when expected and received quantities differ, Parcel Pilot asks for Approve variance and post

Normal workflow
- create a Receipt or Pre-Receipt
- click Start Receiving when goods are actually being received
- enter Received qty for each line
- choose a Location for every add-to-stock line
- use Scan Items if that makes serial or barcode capture faster
- finish the receipt with Complete Receiving for a controlled receipt linked to a Receiving Session, or Post Receipt for a standalone or legacy receipt
- if there is a mismatch between expected and received quantity, review the variance and confirm Approve variance and post
What happens to inventory
- inventory is created or updated only when Post Receipt succeeds
- posting uses the actual Received qty, not the expected quantity
- lines with Add to stock turned off do not create inventory
- saving a receipt line, scanning serials, or starting receiving does not by itself create stock
What happens to receipt status
- Pre-Receipt: planning only
- Open or In progress: receiving work is being recorded
- Completed: inventory has already been posted

Why an action may be unavailable
Receipt not in the correct receiving flow
If the receipt is still planning-only, you may need to move it into the live receiving workflow first.
Check:
- current receipt status
- whether the lines have actual received values yet
Missing Received qty
Parcel Pilot posts actual received quantity.
Check:
- whether Received qty is set on each add-to-stock line
- whether scanning saved the quantity you expect
Missing Location
Parcel Pilot does not choose a random warehouse location when inventory is being created.
Check:
- the line location
- whether the default inbound location was applied after Start Receiving
Serialised items
For serialised stock:
- capture the serials before posting
- do not rely on expected quantity alone
Mixed-SKU location restriction
If the location has Allow mixed items/SKUs turned off, Parcel Pilot blocks putting a different SKU into that location.
Step-by-step investigation
- Confirm the receipt has the right lines and quantities.
- Confirm the receipt is in Open or In progress, not already Completed.
- Click Start Receiving if the warehouse has not begun the live receiving step yet.
- Check Received qty on every add-to-stock line.
- Check Location on every add-to-stock line.
- For serialised lines, check that the serials were actually captured.
- Review the variance summary if Approve variance and post appears.
- Post the receipt.
Safe corrective action
- correct the receipt line before posting if the quantity, item, or location is wrong
- capture missing serials before posting serialised stock
- use a different location if mixing is blocked
- use an inventory adjustment after posting only when the stock itself needs correction
Actions intended only for repair
- Unlock editing is a super-admin correction tool that sets the receipt back to Open for editing
- it does not bypass the duplicate-posting safeguard if inventory was already posted
- do not use receipt deletion to undo posted inventory; use correcting inventory workflows instead
Worked example
Expected receipt line:
SKU-RED x10
Actual receipt result:
- only
8arrived
What happens:
- the operator records Received qty = 8
- the operator clicks Post Receipt
- Parcel Pilot opens the variance confirmation with Approve variance and post
- if approved, Parcel Pilot posts
8, not10 - the receipt becomes Completed and inventory is created for the actual received quantity
Why stock may not appear after expected actions
If stock still does not appear, check these in order:
- was the receipt only saved, not posted?
- was Add to stock turned off?
- was Received qty still zero?
- was the line missing Location?
- was the line serialised but missing serials?
- did the post fail because of variance or mixed-SKU location rules?
- was the stock posted into a holding, quarantine, or non-pickable state?
