Items — Add, Edit, Delete
Use this guide when you need to manage SKUs manually in ParcelPilot.
If you’re pulling products from an ecommerce platform, use the import guide instead:
Before you start (quick checklist)
- SKU should be stable and unique for the client.
- Set Weight (and ideally dimensions) so shipping rules can rate correctly.
- If you ship internationally, set Commodity code (HS) and Country of origin (used for customs declarations):
- If the product is serialised, enable the serialised flag before receiving stock.
Remember: this is product data only — stock quantities/locations live under Inventory Units.
Add an Item (create a SKU)
- Go to Items.
- Click Create Item.
- Fill in (at minimum):
- Client (if applicable)
- SKU
- Name
- Recommended fields:
- Barcode (if you scan in the warehouse)
- Weight (+ unit)
- Dimensions (if available)
- Image (helps pick/pack accuracy)
- Active = on (for live SKUs)
- Click Create.
Edit an Item
- Go to Items and search by SKU.
- Open the item.
- Update the fields you need.
- Click Save.
Notes:
- If you change SKU, anything that references the SKU externally (labels, integrations, customer comms) may no longer match.
- If you change Weight/Dimensions, it can affect shipping pricing and service selection.
Actions
From the items list, each row supports common actions like Edit and Delete (when deletion is allowed).
Delete Items (and when not to)
Best practice
If a SKU is no longer stocked, prefer setting it to Inactive rather than deleting it.
Why deletion may be blocked
Items that have been used on previous orders usually cannot be deleted because they’re referenced by order history.
Bulk delete
- Go to Items.
- Select the row(s) you want to remove.
- Choose Bulk actions → Delete.
- Confirm.
What happens:
- Items referenced by previous orders will be skipped.
- If you need to “remove” a SKU that’s in use, set it to Inactive instead.
Bulk actions
- Export CSV: downloads selected items as a CSV.
- Re-import from eCommerce platform: refreshes selected items from their linked ecommerce platform using the integration each item already belongs to (admin/ops only).
- Delete: deletes selected items where possible; items referenced by previous orders will be skipped.
