Order Actions — Reimport, Stock Allocation and Pick Locations

This page explains selected order actions that depend on live order state.

Reimport from source

Use Reimport when an ecommerce order has changed in the source platform and ParcelPilot should fetch the latest source-owned data for the existing order.

Reimport is intended for supported ecommerce channels with an available client integration.

It is blocked when ParcelPilot cannot identify a supported source, cannot use the matching integration, cannot fetch fresh data, or when warehouse fulfilment work has already started.

Warehouse fulfilment work includes picking markers, shipment evidence, fulfilment commits, inventory deduction evidence, or similar operational activity. Once that work exists, ParcelPilot keeps the local order stable instead of rebuilding demand from the ecommerce source.

Client self-service order changes are intentional where the client owns the order and the workflow is still safe. The live action still checks the current user, order scope, source integration, and warehouse evidence before reimporting.

Edit stock allocation

On an order, authorised warehouse and admin users can open Warehouse → Edit stock allocation.

Use this when an ordinary tracked, non-serialised order line must be fulfilled from exact inventory locations, pallet records, or stock records instead of relying on the automatic reservation distribution. For example, use it when a large order should be picked from several known pallet locations, or when operations want to reserve specific stock records for the order before printing the packing slip.

If the question is how to choose which location an order is picked from, use Edit stock allocation for ordinary tracked, non-serialised stock that needs an actual reservation split. For serialised or on-pick lines that only need a picking-plan exception, use Pick Location Override instead.

The action shows each eligible inventory unit with:

  • On hand: the physical quantity on that inventory unit.
  • Total reserved: all open reservations currently recorded against that inventory unit.
  • Reserved by this order: the portion of that reservation ledger owned by the current order.
  • Reserved by other orders: reservation quantity held by other orders, which this action cannot consume.
  • Available to this order: on-hand quantity minus other orders' reservations, plus any reservation already owned by this order.
  • Explicit allocation quantity: the quantity this order should reserve from that inventory unit after saving.

The selected explicit allocation quantities must equal the order's current demand for every eligible line. Existing reservations owned by the order are included in Available to this order, so the operator can keep or move the order's own reservation. Reservations owned by other orders remain excluded and cannot be stolen.

Applying an explicit allocation safely releases and replaces that order's existing open reservation evidence, then writes new reservation ledger entries against the selected inventory units. It does not create a second inventory truth and it does not repurpose serial/on-pick allocations.

The action is for warehouse-side users and is blocked when the order has unsafe warehouse evidence such as picked allocations, deductions, or shipment-line activity. Serialised and on-pick allocation items keep using their dedicated picking allocation workflow.

After an explicit stock allocation is saved, the packing slip follows that allocation. One commercial order line may be expanded into multiple location rows for picking, while preserving the total ordered quantity.

Use Clear explicit allocation when the order should return to normal automatic reservation behaviour. ParcelPilot releases the explicit distribution and recalculates the reservation using the standard automatic reservation rules.

If demand or SKU changes while an explicit allocation exists, ParcelPilot does not silently redistribute stock. It keeps the explicit reservation in place and marks the order for allocation review. Use Edit stock allocation again to confirm a new split, or Clear explicit allocation to return the order to automatic reservation distribution.

Edit stock allocation is different from Reallocate Stock. Use Edit stock allocation to choose the exact locations, pallets, or inventory units that should fulfil the current order. Use Reallocate Stock only when moving reserved stock from another open order onto the current order; it is not the location-selection workflow for this order's own reservation.
