Inventory Units — Transfer Stock
Use Transfer Stock to record stock movement between locations inside the warehouse while keeping a clear audit trail.
Not sure whether you should transfer vs adjust quantity?
This is the correct workflow for moving serialised items between locations (each serial stays attached to the correct location).
When to use this
Use Transfer Stock when you need to:
- Move stock from bulk → pickface (replenishment)
- Relocate stock because a bin/location has changed
- Correct stock that was received into the wrong location
- Move serialised units (one serial = one unit) to the right location
Don’t use this for:
- Receiving new stock (use Receipts / Scan Stock In)
- Adjusting quantities because stock was lost/damaged (use stock adjustments / stock take)
Option A (recommended for office/admin): Inventory Units bulk action
This is the best option when you’re at a desktop and you already know which Inventory Unit records you’re moving.
Steps
- Go to Inventory Units.
- Filter/search for the stock you want to move.
- For serialised stock: search by Serial.
- For normal stock: filter by SKU and current Location.
- Tick the row(s) you want to move.
- Choose Bulk actions → Transfer Stock.
- Set:
- Target Location
- Quantity to transfer
- Move reservations with stock (see notes below)
- Confirm.
Important notes (bulk action)
- Serialised items: select the specific serial rows, and transfer Quantity = 1.
- Non-serialised items: be careful selecting multiple rows.
- The bulk action applies the quantity to each selected row.
- For most non-serial transfers, select one Inventory Unit row and move the quantity you need.
- Mixed-SKU protection: if the destination location has Allow mixed items/SKUs turned off, ParcelPilot will block the transfer when that location already contains stock for a different SKU.
What gets recorded
- The system records an audit trail showing stock leaving the source location and arriving at the destination location.
- For serialised units, ParcelPilot moves that exact serialised unit to the new location and updates the warehouse details to match.
Option B (warehouse/mobile): Location QR “Transfer Stock” (camera scan)
This option is designed for warehouse users using a phone with a camera.
It’s a 2-step flow:
- start the transfer from the source location
- complete the transfer at the destination location
What you need
- Location labels with a QR code
- You must be logged in on your phone (the location actions page requires authentication)
Steps (mobile)
- Scan the source location QR code using your phone camera.
- The browser opens the Location Actions page for that location.
- Tap Transfer Stock.
- Choose the stock to transfer.
- Serialised stock shows the serial in the list.
- Enter:
- Quantity to Transfer
- Notes (optional but recommended)
- Move reservations with stock (see notes below)
- Tap Transfer.
- When prompted, scan the destination location QR code.
- If camera scanning isn’t available, you can manually type the destination location code.
- Confirm to Complete Transfer.
“Move reservations with stock” (when to use it)
This toggle controls whether reservation counts should follow the stock to the destination.
- Leave it OFF for normal relocations and tidy-ups.
- Example: “Move serial S123 from A-01 to A-02”.
- Turn it ON for replenishment-style moves where reserved stock should be pickable at the destination.
- Example: “Move 10 units from bulk to pickface so open orders can be picked from pickface.”
Notes:
- In the Inventory Units bulk action, this defaults to OFF.
- In the mobile Location Actions transfer, it may default to ON — double-check it before completing the transfer.
Troubleshooting
“Insufficient quantity”
- If you’re moving with Move reservations OFF, the system checks available quantity (on-hand minus reserved).
- If you’re moving with Move reservations ON, the system allows moving up to on-hand and moves reserved quantities with it.
“Location does not allow mixed items/SKUs”
- This means the destination location is configured as non-mixed and already contains stock for a different SKU.
- ParcelPilot blocks the transfer rather than moving the stock into that location.
- Choose a different destination, or move/clear the other SKU from that location first.
“I moved a serial but it still shows the old location”
- Make sure you transferred the Inventory Unit row that has the serial (and used Quantity = 1).
- If you have duplicate/blank serials, search Inventory Units by SKU + location and confirm which row is the serialised one.
