Scan Stock In
Use Scan stock in for fast receiving using serial QR codes, product QR codes, product barcodes, or handheld scanner input.
Expected vs received
When you work from a linked collection or pre-receipt:
- the collection or pre-receipt quantity is the expected quantity
- the receipt quantity is the actual received quantity
- shortages and overages are allowed and are shown as receipt variances
ParcelPilot does not require serial scans to stop exactly at the expected quantity before you continue to the next SKU.
What it does
- Creates or updates a Receipt and Receipt Lines as you save scans.
- Captures received quantities, serials, batch/expiry data, and the destination location.
- Can move a pre-receipt into active receiving.
- Only adds inventory when you Complete receipt / Post receipt.
- If the receipt still has expected-vs-received variances, completing it requires an explicit Approve variance and post decision before inventory is created.
Recommended workflow
- Choose Client and Warehouse.
- Select an existing Pre-Receipt / Open receipt (optional).
- Scan item codes, product barcodes, or serials and confirm quantities.
- Use Status (Available / Quarantine / Hold) to control availability.
- Click Save to write the scan data onto the receipt.
- When the receipt is fully ready, click Complete receipt to post stock. If variances remain, review the mismatch summary and choose Approve variance and post to continue.
Tips
- If you’re receiving into the wrong location, double-check the selected Location.
- If an item isn’t found by scan, ParcelPilot will tell you whether the unmatched value looked like a product barcode so you can correct the item data or select the item manually.
- Product barcode scans support common formats including EAN-13 / GTIN-13, EAN-8, UPC-A, UPC-E, and Code 128.
- When scanning against an existing receipt, the Item dropdown shows each receipt SKU with progress so it is easier to see what is done and what is still left.
- After you save a SKU group, the page keeps the location, clears queued serials, and selects the next unfinished receipt item automatically.
- If you save fewer serials than expected, the page shows the shortage and lets you continue.
- If you save more serials than expected, ParcelPilot continues accepting scans and records the overage.
- Before posting, review the receipt summary showing Item, Expected, Received, and Variance.
- Variances do not require Mark as Correct. That action belongs to receipt reconciliation; Scan Stock In uses a posting-time approval step when inventory is about to be created.
- If you open Scan Stock In from a Collection and there is no linked receipt yet, ParcelPilot can create the linked pre-receipt in the background first.
- If that collection does not have usable SKU lines yet, update the receipt before trying to scan/post stock against it.
