Shipments — Create, Edit & Delete
This guide covers the standard shipment workflow (labels, tracking, and ecommerce push).
Create a shipment
Most shipments are created from an order:
- Open an order in Orders.
- Use Create Shipment (label/booking action).
- Select the carrier integration and review the suggested weight/dimensions.
- Choose a service (or leave blank to let auto rules pick one, if configured).
- Create/book the shipment.
Calculated weights & dimensions
When creating a shipment from an order, ParcelPilot will suggest a weight and dimensions.
Weight (auto-calculate)
If Auto-calculate from items is enabled:
- ParcelPilot sums the per-unit weights from the order’s items × quantity.
- If Add box weight is enabled, the Box weight (grams) value is added on top (so the booked weight includes packaging).
Notes:
- If item weights are missing or incomplete, the calculated weight can be unrealistically low.
Dimensions (auto-suggest)
Parcel dimensions are auto-suggested from item size data.
- If items have case pack dimensions configured and the order quantity is an exact multiple of the case size, the suggested dimensions may use the case size.
Overriding weight & dimensions
You can override the suggested values before booking:
- To override weight, switch Auto-calculate from items off and enter the real parcel weight.
- To override dimensions, edit the length/width/height fields.
- To override dimensions using a known packaging size, choose a Box preset (if configured) and then adjust any fields if needed.
Important:
- When you manually enter a weight, ParcelPilot treats that as the final weight for booking.
Bulk shipment creation
Bulk create shipments computes weight and dimensions per order (from items) and does not offer per-order manual overrides.
- Use bulk when you want consistent, computed values.
- Use the single-order Create shipment action when you need to override weight/dimensions (or select a box preset).
You can also create a shipment directly (manual shipment):
- Go to Shipments.
- Select Create Manual Shipment.
- Enter tracking number(s), carrier/service details, and any label/booking info.
Edit a shipment
Use Edit Shipment to review and update:
- Tracking numbers and status
- Labels / downloaded documents
- Carrier responses and booking metadata
Actions & bulk actions
Row actions (per shipment)
- Edit: opens the shipment record.
- Apply customer price: applies the customer price mapping to the shipment (for billing/invoicing workflows).
- Download Label: for Royal Mail Click & Drop shipments, fetches the label PDF from Royal Mail and stores it in ParcelPilot.
- Mark as packed: stamps the shipment as packed.
- Re-sync Tracking: pushes tracking back to the connected ecommerce platform (when enabled on the client integration).
- Check tracking: polls carrier tracking now and updates the shipment status.
Bulk actions (Shipments list)
- Update tracking status: runs tracking refresh now for the selected shipments.
- Deep refresh tracking: runs a deeper refresh (useful when aggregators lag behind).
- Set shipment status: manually sets shipment status in bulk.
- Download labels (PDF): combines selected PDF labels into one file (non-PDF labels may download as a ZIP).
- Delete: deletes selected shipments.
Push / re-sync tracking to the ecommerce platform
If the order came from an ecommerce integration, you can push tracking back upstream.
- Use the shipment action Re-sync Tracking if the ecommerce platform didn’t receive the update or if you changed tracking details.
Notes:
- Pushing only works when the client integration is set to send shipment confirmations back to the ecommerce platform.
Delete shipments
Shipments can be deleted in bulk from the Shipments list.
Before deleting:
- If the label was booked with a carrier, confirm whether you also need to void/cancel the booking with the carrier (depending on the carrier integration).
