Why Can't I Complete a Return?

This guide explains why a return is still open, what stage ParcelPilot can currently prove from the saved return evidence, and what the operator should check next.

Key idea

ParcelPilot does not complete a return just because a return record exists.

The return can only finish when the saved evidence shows that the received quantities are correct, any required serial evidence is present, and Complete & apply passes its own final validation.

ParcelPilot does not store a separate awaiting disposition stage. Line dispositions are recorded during the normal return editing and inspection workflow.

The stages ParcelPilot can safely explain

Awaiting physical arrival

What it means:

  • expected returned stock has not yet been recorded as physically received
  • outstanding quantity still remains on one or more lines

What to check:

  • whether the parcel has actually arrived at the warehouse
  • whether Mark as Arrived has been used on the correct return
  • which lines still show expected quantity with zero received quantity

Safe next action:

  • wait for the goods to arrive, then record the physical arrival before trying to finish the return

Partially received

What it means:

  • some expected quantity has been recorded as received
  • one or more return lines still show outstanding quantity

What to check:

  • the SKU or item on the line
  • Qty expected
  • Qty received
  • the remaining outstanding quantity

Safe next action:

  • record only the quantity that has physically arrived, then receive the remainder later if more stock is still expected

Arrived or inspected, still in progress

ParcelPilot stores the operational workflow on the return record itself.

  • Arrived means the goods are on site but the return is still being worked through
  • Inspected means the inspection step has been recorded, but the return is not finished until Complete & apply succeeds

There is no separate saved disposition-review stage. If a line needs restock, hold, quarantine, or scrap handling, that is recorded on the return lines as part of the normal workflow.

Ready for Complete & apply

What it means:

  • the current saved evidence shows the return has been fully received and inspected
  • no current outstanding quantity or proven blocker is left in the saved return facts

Important:

  • this is a readiness state, not a bypass
  • Complete & apply still runs its own validation when the operator clicks it

Safe next action:

  • review the received lines once more, then run Complete & apply when the warehouse is ready to finish the return

Completed

What it means:

  • the return is a historical completed record rather than an active operational blocker
  • the warehouse does not need to progress it further through the normal return workflow

Cancelled

What it means:

  • the return is no longer an active operational return
  • it should not be treated as waiting for warehouse completion

Indeterminate or inconsistent retained evidence

Sometimes ParcelPilot cannot safely prove the next operational step from the retained evidence alone.

Examples include:

  • a return that moved into Requires review
  • posting evidence that failed or stalled
  • a historical state that does not line up cleanly with the retained return evidence

What to check:

  • whether the linked return lines, quantities, and serial evidence are complete
  • whether the record shows review or retained posting-state warnings
  • whether the historical evidence already reflects an administrative reconciliation rather than a normal warehouse completion path

Safe next action:

  • verify the return evidence on the record first
  • if the evidence still does not explain the next safe step, escalate for investigation instead of forcing completion

Use line-level evidence, not guesses

When a return cannot progress, check the saved line evidence first:

  • SKU / Item: confirm the line is for the correct returned item
  • Qty expected: what the return originally expected back
  • Qty received: what has actually been recorded as physically arrived
  • Outstanding qty: what is still missing from the expected return

If serial tracking applies, also confirm the required serial evidence matches the received quantity.

Common operator questions

Why is this return still open?

Usually because the goods have not arrived yet, only part of the expected quantity has been received, inspection work is still in progress, or the retained evidence needs review before ParcelPilot can finish safely.

What is this return waiting for?

Look first at the current saved stage:

  • awaiting arrival means it is waiting for physical receipt
  • partially received means more expected quantity is still outstanding
  • arrived or inspected means warehouse processing is still in progress
  • ready for completion means the warehouse can run Complete & apply, but that action still revalidates the return

Why is this return not ready to complete?

ParcelPilot will not treat a return as ready when outstanding quantity, missing serial evidence, review-only states, or inconsistent retained evidence still exist.
