Receiving an Inbound Delivery from a Handling Unit Label

Use this guide when incoming stock arrives with a ParcelPilot Handling Unit label attached to the physical pallet, box / carton, tote, crate, or similar unit.

This guide is written for warehouse users receiving the physical delivery.

When should I use this?

Use this workflow when you want to:

scan a pallet or box label on arrival
confirm you are working on the correct physical unit
open the linked receiving workflow without creating duplicate records by mistake
receive each physical unit in its own context when the inbound has multiple units

If you are still planning the incoming delivery, start with Registering and receiving an expected delivery.

When the delivery arrives

Find the ParcelPilot label on the physical unit.
Check the human-readable Handling Unit identifier, such as HU-00007648.
Check the unit label, such as Pallet 1 of 2 or Box / Carton 1 of 3, so you know which physical unit you are handling.
Scan the QR code.
Review the Handling Unit page that opens. It shows the unit identity, the inbound, the client, the destination warehouse, and any expected contents that were planned for that unit.

Start or continue receiving

Scanning the QR is informational and read-only by itself.

An authorised warehouse user then deliberately clicks:

Start Receiving This Pallet or Start Receiving This Box / Carton when receiving has not started for that unit yet
Continue Receiving This ... when the inbound already has receiving work open

ParcelPilot then opens the normal Scan stock in workflow for that inbound receipt.

Important points:

viewing the Handling Unit page does not create duplicate receiving records
repeated scans of the QR only reopen the same Handling Unit information page until a user deliberately starts or continues receiving
receiving can be paused and continued later through the same controlled workflow

Receive the physical contents

When you start from a Handling Unit label, ParcelPilot uses that unit as receiving context.

This helps the system prioritise the receipt lines expected on that pallet or box first.

Physical stock always takes precedence over the client plan.

If you find an item in that Handling Unit that was not planned there:

you can still receive it
ParcelPilot may warn that it was not expected on that Handling Unit
record what is physically present rather than editing the original plan just to hide the difference

If the Handling Unit was created with Contents unknown, simply choose or scan the actual items being received.

Multiple pallets or boxes

Each physical Handling Unit should be scanned and received in its own Handling Unit context.

For example:

Pallet 1 of 2
Pallet 2 of 2

Both can still belong to the same overall inbound receiving process.

This helps the warehouse keep the physical arrival aligned with the correct parcel, box, or pallet identity.

Understanding receiving progress

Handling Unit progress is read-only information based on what has been recorded so far.

You may see these states:

Not started: nothing has been recorded for that Handling Unit yet.
Receiving: some planned quantity has been recorded, but the unit is still in progress.
Expected contents received: the planned quantity for that Handling Unit has been recorded.
Received with discrepancy: ParcelPilot has identified a meaningful difference for that unit, such as unexpected contents, quantity above plan, or a final shortfall after receiving is completed.
Activity recorded without plan: stock activity was recorded for that Handling Unit, but there was no Handling Unit quantity plan to compare it against.

Important:

Receiving does not mean shortage.

If an allocated Handling Unit shows 18 / 20 while receiving is still underway, the remaining two are still expected. That is not automatically a final discrepancy.

Unexpected items or quantities above a Handling Unit plan can be highlighted straight away. Final shortfall or discrepancy wording depends on the receiving process being completed.
