Scanning Stock In
Use Scan stock in when scanning is the fastest way to receive incoming stock.
This is especially useful for serialised items, barcode-driven goods-in, and warehouse teams working on a phone or handheld scanner.
When should I use this?
Use this page when you want to:
- scan serial numbers as stock arrives
- scan product barcodes instead of typing quantities manually
- receive against an existing receipt
- update the actual received quantities quickly on the warehouse floor

How it works
Scan Stock In updates the receipt with what actually arrived.
It does not add stock to inventory on its own.
Stock is only added later when the warehouse finishes the receipt by using Complete Receiving or Post Receipt.
If Scan Stock In was opened from a Handling Unit label, the page keeps that Handling Unit as guidance only. Planned receipt lines for that unit are shown first, and other valid lines stay available with a warning if they were not planned on that unit.

Step-by-step
- Open Operations → Scan stock in.
- Choose the Client and Warehouse.
- Select an existing receipt if you already have one. If you opened the page from another workflow, ParcelPilot may fill this in for you.
- Choose the Location where the stock is being put away.
- Choose the Item you are currently receiving.
- Scan serial labels, product barcodes, or item codes.
- Review the queued scans and confirm the received quantity.
- Click Save line and continue or Save.
- Repeat for the next SKU until the receipt matches what actually arrived.
- Review the receipt summary showing Expected, Received, and Variance.
- Finish the receipt with Complete Receiving if the receipt came from an expected delivery.
- Use Post Receipt instead if this is a standalone or older receipt workflow.
What happens next?
After you save scans:
- the receipt shows the received quantities and serials you captured
- shortages and overages remain visible for review
- the next unfinished SKU can be selected more quickly
After you complete or post the receipt:
- stock is added to inventory where allowed
- the final received quantities become the warehouse record of what arrived
Common questions
Does scanning add stock immediately?
No. Scanning updates the receipt. Stock is added only when the receipt is completed or posted.
What if the scan is not recognised?
Check the selected Item, barcode data, and Client. If needed, select the item manually and continue receiving.
What if fewer units arrive than expected?
You can still save the line. ParcelPilot will show the shortage so the warehouse can decide whether to leave the delivery open or finish it short.
What if more units arrive than expected?
The page will show the overage. Some workflows ask for an approval reason before the extra quantity can be accepted.
Can this create a receipt for me?
Sometimes. If you open Scan Stock In from another workflow, ParcelPilot may create or open the linked receipt first. Any receipt created here still uses a ParcelPilot-generated receipt reference, while supplier or delivery references belong in External Reference.
When you start from a Handling Unit label, ParcelPilot first opens the Handling Unit information page. Receiving only begins after you click the explicit Start Receiving or Continue Receiving action there.
The Handling Unit page stays read-only until you make that deliberate choice.
Things to check if something looks wrong
- Confirm you selected the right Receipt, Client, and Warehouse.
- Check the Location before saving.
- If a collection only has a container summary and no real SKU lines yet, update the receipt before scanning stock into it.
- If serialised stock will not complete, make sure the required serials were scanned before finishing the receipt.
