Customer Addresses
The Customer Addresses guide covers the reusable shipping and billing addresses used when creating or editing orders.
Saved addresses are offered as quick-pick options so users do not have to retype address details every time.
What Customer Addresses are
Use saved addresses to store common destinations such as:
- customer name or contact name
- company name
- street and address lines
- city or town
- county or state
- postcode or ZIP
- country
- phone number
These records are intended to speed up order entry and reduce typos.
Orders keep an address snapshot
When you select a saved address on an order, ParcelPilot copies the full address into the order record.
That means:
- updating the saved address later does not change old orders
- past labels, paperwork, and shipping documents stay consistent with what was originally shipped
If an address changes for future orders, update the saved address or create a new one and select it on the next order.
Where these addresses are used
Saved Customer Addresses are the source of truth for the Ship To and Bill To quick-pick choices used in Orders.
Typical use cases:
- repeated shipments to the same retail stores, branches, or distribution centres
- a standard billing address that should be used consistently
- multiple contacts at the same site, such as Goods In and Accounts
Common workflows
Add a new address
- Go to Customers or the relevant address picker on the order flow.
- Create or save the address details.
- Enter the shipping and billing details you want available for reuse.
- Save.
Edit an existing address
Use this when the address is still fundamentally the same destination, but details have changed such as:
- phone number
- recipient name
- unit or suite number
Remember that changes apply to future orders only.
When to create a new address instead of editing
Create a new address when:
- the destination is a different site
- you need to preserve an old address for reference
- a customer has multiple delivery points that should remain separately selectable
Best practices
- use consistent naming for quick selection
- prefer a dedicated contact name and phone number for delivery issues
- keep delivery instructions on the order or notes fields rather than forcing them into address lines
Troubleshooting
I updated the saved address but the old order did not change
This is expected. Orders keep a snapshot of the address at the time the order was created or edited.
Wrong Ship To or Bill To printed on paperwork
- confirm which address was selected on the order
- if the order is still editable, update the order address snapshot and regenerate the paperwork
Summary
- Customer Addresses are reusable Ship To and Bill To options
- orders store an address snapshot
- changing a saved address affects future orders, not historical ones
